Listed below are many of the resources you need for your GAPNA chapter.
 

Annual Chapter & Financial Reports

Chapters are required to complete and submit both an Annual Chapter Report and a Chapter Financial Report each year. The Annual Chapter Report collects updated information about the chapter, and provides the board with information about individual chapter meetings, accomplishments and future plans. The Chapter Financial Report provides the Board with information about the Chapter finances. Both documents will be discussed during the Board Meeting and Leadership Update at the Annual Conference.

Starting A Chapter

If you are interested in starting a chapter in your area, please review this brief list of qualifications and contact our National Office for more information. We also have a Chapter Formation Handbook to assist you once you have made the decision to move forward. The Handbook is much more detailed and covers many more areas that Chapters will at some point need to know.

Chapter Toolkit (Includes Archiving Resources)

This toolkit is a work in progress and more will be added as we move forward. The items contained herein are for use by Chapters. Please feel free to contact the National Office at  GAPNA@AJJ.com  if you have any questions or suggestions on items to include.

EIN Application Process

New chapters will need to obtain an Employer Identification Number for tax and banking purposes. A Chapter Officer will need to supply the IRS with personal contact information and a SS#. Tax Identification Numbers are not accepted by the IRS.

Chapter Tax Filing (990-N e-Postcard)

Chapters need to submit a 990-N e-Postcard every year confirming to the IRS that they received less then $50,000 in revenue/income that year (this is not to be confused with a cumulative checking/savings account amount).

PER IRS WEBSITE: Who Must File 990-N (ePostcard) - Most small tax-exempt organizations with gross receipts that are normally $50,000 or less must file the e-Postcard.

Most small tax-exempt organizations whose annual gross receipts are normally $50,000 or less are required to electronically submit Form 990-N, also known as the e-Postcard, unless they choose to file a complete Form 990 or Form 990-EZ instead.

If you do not file your e-Postcard on time, the IRS will send you a reminder notice. There is no penalty assessment for late filing the e-Postcard, but an organization that fails to file required e-Postcards (or information returns – Forms 990 or 990-EZ) for three consecutive years will automatically lose its tax-exempt status. The revocation of the organization’s tax-exempt status will not take place until the filing due date of the third year. 

Due Date of the e-Postcard

The e-Postcard is due every year by the 15th day of the 5th month after the close of your tax year. For example, if your tax year ended on December 31, the e-Postcard is due Saturday, Sunday, or legal holiday, the due date is the next business day. You cannot file the e-Postcard until after your tax year ends.

Hosting a Meeting/Conference

The intention of these documents is to compile a list of things that worked and things that didn’t, and the pros and cons of hosting a meeting or conference. We hope this information will assist Chapters when planning events.

W9 Form

When a vendor donates something (money, goods, food, etc.) to your Chapter, they will ask you to fill out a W9 Form. This form is filled out by the Chapter and allows the vendor to take the donation as a business expense. The online form is interactive, which means you can fill it out and save it to your computer. A chapter officer will need to sign it for the vendor.
